What goes on a call sheet
Every good call sheet answers the same questions: when, where, who and what. The template has a place for each of these.
Title, date and day number
The production name, the shoot date and which day it is, like Day 2 of 3, so nobody shows up on the wrong day with the wrong sheet.
Call times
Crew call, first shot, lunch and the estimated wrap. Crew call is the time everyone is ready to work, not the time they leave home.
Key contacts
Producer, director, 1st AD or production manager, the client, and one emergency contact with a phone number.
Location
The full address, a map link, where to park or meet, and the nearest hospital. Add the weather, sunrise and sunset for outdoor shoots.
Schedule
The day block by block: time, scene or shot, a short description, which cast are needed and where it happens.
Cast and talent
Each person with their role, pickup time, call time, hair and makeup time and when they are needed on set.
Crew
Everyone on the shoot by department, with their role, phone number, call time and whether they confirmed.
Notes
Anything people must know before they arrive: special equipment, safety, wardrobe, props and catering.
How to make a call sheet
- Lock the schedule firstThe call sheet comes from the schedule. Finish the shooting order and timings before you fill anything in.
- Set call times backwardsStart from the first shot and work back: setup, hair and makeup, travel. That gives you crew and talent call times that actually work.
- Fill in everyone, onceAdd every crew member and talent with a phone number. A missing number is the call you cannot make at 6am.
- Send it the night beforeSend the final version the evening before the shoot, so people can plan their morning.
- Get every confirmationA call sheet only works if people read it. Ask each person to confirm, and chase anyone who has not.
